Does Microsoft Back Up Our Microsoft 365 Data?
Prepared by NUPC Technology | September 25, 2026
Microsoft uses built-in service and data resiliency to keep Microsoft 365 available, but it does not automatically configure a Microsoft 365 backup policy. Therefore, if your business needs historical, point-in-time recovery beyond standard recovery features and retention settings, your business must set up Microsoft 365 Backup or another backup product.
Microsoft’s Microsoft 365 Backup FAQ says its shared-responsibility position has not changed. Microsoft’s shared responsibility guidance states that customers own their data and remain responsible for protecting it. Microsoft runs the service. Your business decides how to retain, protect, and restore its data.
What Microsoft Keeps, and for How Long
- After a user removes an item from the Deleted Items folder, Exchange Online keeps it in Recoverable Items for 14 days by default. However, an administrator can extend that period to 30 days, and retention policies or holds can preserve some content longer.
- OneDrive generally keeps deleted work or school files in the recycle bin for 93 days unless an administrator changes the setting. Similarly, SharePoint generally retains items for 93 days, but the service can purge them sooner if the second-stage recycle bin exceeds its quota or an administrator deletes them manually.
- As a result, recovery after the standard windows depends on the workload, deletion path, retention policies, holds, service-backup options, and any configured backup.
- Microsoft sells a separate, pay-as-you-go Microsoft 365 Backup service.
- Protecting the data itself remains the customer’s responsibility.
Is a Recycle Bin the Same as a Microsoft 365 Backup?
No. A recycle bin is a recovery feature, not a separately configured point-in-time backup. According to Microsoft’s Exchange Online documentation, Exchange Online keeps items that users remove from the Deleted Items folder in Recoverable Items for 14 days by default, up to a maximum of 30. Similarly, Microsoft’s OneDrive guidance says the service generally keeps work or school files in the recycle bin for 93 days unless an administrator changes the setting. Microsoft’s SharePoint recycle bin guidance explains the 93-day SharePoint window, its exceptions, and an additional 14-day service-backup period for full site-collection restores through Microsoft Support.
Those windows can help with recent deletion, but recovery after the window closes depends on the retention policies, holds, service-backup options, and any separate backup configured for the business.
What Does Microsoft 365 Backup Offer Beyond the Recycle Bin?
Microsoft’s backup service overview explains that Microsoft 365 Backup is a separate, pay-as-you-go service covering SharePoint, OneDrive, and Exchange Online. Microsoft bills the service separately, and your business must set it up. In addition, other backup products exist. The right choice depends on how long your business needs to keep data and how quickly it needs it back.

Microsoft 365 Backup Questions Your Business Should Be Able to Answer
You are not looking for perfect answers. You are looking for the ones nobody can answer yet.
- Does anything back up your Microsoft 365 email and files beyond the recycle bin?
- How far back could you recover a mailbox or a deleted folder today?
- Who would notice if a backup stopped running?
- When did your team last test a restore, and did it work?
- Who owns this decision for your business?
If Nobody Is Sure What Is Covered
That answer is common, and it does not mean anyone handled anything badly. Many businesses set up Microsoft 365 once and then trust it to take care of itself. However, an unclear answer usually points to a gap in ownership. Therefore, identifying who is responsible for Microsoft 365 backup, and what it covers, is the step that closes it.
Frequently Asked Questions
Does Microsoft back up our Microsoft 365 data?
Microsoft uses built-in service and data resiliency and offers several recovery features. However, Microsoft charges separately for Microsoft 365 Backup on a pay-as-you-go basis, and its shared-responsibility guidance says customers remain responsible for their data-protection choices.
How long can we recover deleted email?
After a user removes an item from the Deleted Items folder, Exchange Online keeps it in Recoverable Items for 14 days by default. However, an administrator can extend that period to 30 days, and retention policies or holds can preserve some content longer.
How long are deleted SharePoint and OneDrive files kept?
OneDrive generally keeps deleted work or school files in the recycle bin for 93 days unless an administrator changes the setting. Similarly, SharePoint generally retains items for 93 days, and Microsoft keeps SharePoint service backups for 14 additional days after deletion. Microsoft Support can use those backups only to restore entire site collections.
Is the recycle bin enough?
A recycle bin can help with recent deletions, but it is not the same as a separate point-in-time backup. Recovery after the recycle-bin window closes depends on retention policies, holds, service-backup options, and any configured backup.
